Summary

Save the Children's U.S. Programs (USP) division is committed to ensuring that all children in rural America have a healthy, strong foundation to thrive as learners and in life. We operate Head Start (HS) and Early Head Start (EHS) programs in five (5) states serving children and families in rural communities. Save the Children is seeking a Specialist, Human Resources to support 4 Head Start programs in Louisiana. In this role, you will execute a range of administrative functions including, but not limited to, maintaining personnel records, supporting timesheet management, tracking leave, and processing renewals of background checks and certifications . You will report directly to the HR Manager for Louisiana and support other HR projects and tasks as assigned.

Personnel Records Maintenance (50%)



  • Add new employees into HRIS and ChildPlus databases; conduct regularly audits and make changes as needed.
  • Assist in routine personnel file audits and updates, maintaining licensing binders at centers and uploading required documents.
  • Ensure confidentiality and security of personnel records to protect employee information as required by Save the Children policies and state and federal regulations.
  • Process/update MySource with employee changes to include position changes, salary changes, location changes, etc. as instructed by HR manager.
  • Execute all CCCBC renewals, this includes tracking expiration dates, contacting employees to process renewal applications, and coordinating fingerprinting appointments and payments.
  • Maintain spreadsheets with important items needing date follow-ups, such as time left for employees to obtain education credentials, CDA expirations, CPR/First Aid expirations, etc.


Time and Leave Management (20%)



  • Ensure proper practices are used in managing short term disability, workers' compensation, and regularly review and track employee disability and workers compensations claims for approval dates, extensions, etc.
  • Provide support with processing furloughs; updating furlough spreadsheets with dates provided by HR manager, creating furlough letters, and communicating with staff to support transitions.
  • Send bi-weekly timesheet reminder emails to individual supervisors to ensure timely completion and submission of all timesheets.


HR Management Support (30%)



  • Confer with Assistant Program Directors and Education Managers to update classroom placement lists monthly, communicating vacancies and processing changes
  • Visit centers and admin offices monthly to connect with people managers and employees, and support employee engagement efforts
  • Order name badges for new employees and replacements as needed
  • Support Day One Onboarding activities, as needed
  • Assist with new program start-up activities related to HR


Required Qualifications



  • Minimum of a High School Diploma or equivalent, plus at least 3 years of relevant experience
  • Demonstrated organizational skills and attention to detail
  • Effective time management skills with a proven ability to meet deadlines
  • Strong analytical and problem-solving skills
  • Professional proficiency in MS Office suite
  • Professional proficiency in spoken and written English
  • Demonstrated ability to communicate and collaborate effectively with individuals and teams at all levels, both internally and externally
  • Demonstrated commitment to fostering and maintaining and environment of diversity, inclusion, and belonging.
  • Willingness to travel locally up to 25%; ability to drive a fleet or rental vehicle for Save the Children business travel


Preferred Qualifications



  • Experience leading or working on projects, audits or assessments
  • Experience working with Head Start, childcare, or other early education entity
