Department Scheduler and Support Assistant Position Highlights:

Job Summary: Interacts with patients via phone, the electronic medical record, and online applications (i.e. NorthShore Connect). Schedule procedural cases (such as Cardiac Cath, EP and Structural Heart, and Interventional Radiology (IR)) based on the patients, physicians and lab availability. Schedules prospective and same-day add-on procedural cases. Coordinates other key stakeholders needed for the procedure, such as vendor representatives, anesthesia, etc. Enters and confirm patient procedural charges using Epic Optime, as applicable per department. What you will do:
- Enters case specific information in Epic Optime and/or Radiant and ensures accuracy and confirms booking information with the physician and/or physician support staff.
- Reviews future procedure lab availability identifies scheduling options/opportunities with the physician, physician support staff and the patient to fully optimize lab time and to prevent scheduling conflicts.
- Enters and identifies the appropriate Cardiac Cath, EP or Structural Heart, IR procedure. Accurately & appropriately determines case length/duration using Epic Optime applications and its functionality.
- Modifies and rearranges previously scheduled cases to maximize lab time, equipment and staff resources at the request/direction of the physician, physician staff, Clinical Coordinator and Interventional Services manager.
- Verifies physician core and specialty privileges prior to adding procedure requests.
- Manages, triages and troubleshoots the volume of inbound calls related to scheduling protocols (can be up to or more than 50 calls p/day).
- Works from Epic work queue to call patients to schedule procedures.
- Communicates to RN Patient Navigators once patients are scheduled so pre-op instructions can be provided
- Communicates and coordinates with the insurance verification team to ensure proper coverage and reimbursement prior to scheduling the patient, as warranted per specific service line
- Resolves and completes end-of-day processes, ensures procedural encounter charges have been cleared in the "Unposted logs" within Epic Optime and transmits to hospital billing.
- Facilitates the prevention of billing errors by reviewing legal documentation of Epic Optime log entries, physician procedural notes and anesthesia technical charges to reconcile billable Services.
- Participates in monthly meetings with physicians and management to address access issues or scheduling concerns

- Education: High School Diploma. Two years college preferred.
- Certification: n/a
- Experience: Minimum 1 year customer service experience required. 2-3 years related work experience; healthcare setting preferred.
