General Purpose of Job: The Payroll Specialist is responsible for the processing and timely delivery of the Health System's payroll. The Payroll Specialist uses an understanding of the Health System's in-house timekeeping and payroll systems to accurately pay Caregivers in compliance with state and federal agencies and regulations, such as the Internal Revenue Service (IRS) and Fair Labor Standards Act (FLSA) rules and regulations. The Payroll Specialist helps to assure proper tax treatment, accounting and disposition of withholdings such as taxes, deductions for benefits, retirement contributions, court ordered and other voluntary deductions. The Payroll Specialist exercise independent judgement and discretion in planning and carrying out the details of work procedures and methods. Essential Duties: This job description is intended to cover the minimum essential duties assigned on a regular basis. Caregivers may be asked to perform additional duties as assigned by their leader. Leadership has the right to alter or modify the duties of the position.
- Processes payroll according to Health System policies, union contracts and applicable wage and hour laws.
- Facilitates, reconciles and disburses Caregiver withholdings and deductions in compliance with state and federal laws.
- Maintains various Caregiver master files such as statutory withholdings, ACH set up and maintenance, union related and other voluntary and court ordered deductions.
- Processes payroll adjustments, retroactive payment calculations, correction and supplemental checks, stop payments, ACH reversals and replacement checks.
- Provides customer service to Caregivers in the areas of earnings, taxation, voluntary and court ordered deductions, locating forms and information and who to contact for benefit questions.
- Provides timekeeper and Caregiver support related to the time and attendance system, time collection devices and Caregiver portals.
- Assists Leadership with their interpretation of and compliance with handbook policies, union contracts, and state and federal regulations relating to timekeeping and payroll.
- Responds timely and accurately to properly authorized information requests such as employment verifications, interrogatories and subpoenas.
- Contributes to the overall success of the Health System and the Finance division by performing all other job duties and responsibilities as assigned, acting as a back-up for other team members as needed, maintaining high levels of accuracy, maintaining a professional demeanor and appropriate levels of confidentiality and providing excellent customer service.

* Payroll certification through the American Payroll Association - preferred |
Work Experience |
* See Education section * Three or more years of progressive payroll experience with an automated timekeeping and HR/Payroll system - preferred * Payroll experience with a multi-entity employer or large Health System - preferred * Experience with Infor/Lawson software, specifically the HR/Payroll module - preferred * Experience with Kronos Workforce Solutions - preferred |
Education |
* Associates degree or two years of payroll experience with an automated timekeeping and HR/Payroll system. |
Specialized Knowledge and Skills |
* General knowledge of state and federal tax, payroll and reporting requirements. * General knowledge of accounting principles and pay methods. * Strong spreadsheet and Microsoft Office skills. * Strong customer service and inter-personal skills. * Strong work ethic and team player. * Strong mathematical aptitude. * Ability to communicate with various levels of management. * Decision making, problem solving and analytical skills. * Organizational, multi-tasking and prioritizing skills. * Demonstrates ability to use a keyboard as may be required to perform the essential duties of the job. |
