Program Coordinator - Regulatory Affairs

The Program Coordinator for Regulatory Affairs will be instrumental in optimizing workflow, providing administrative and secretarial support based on applicable policies, rules and procedures. The Program Coordinator will be responsible for preparing and submitting documentation, maintaining regulatory records, and ensuring executive readiness for regulatory related surveys and health system compliance with TJC, state, and federal standards.

Essential Job Statements

  • Provides regulatory survey support, including preparation of survey documents, scheduling conference rooms, coordinating food and logistics, and other essential duties, as needed.

  • Collaborate with internal teams to gather relevant information for regulatory submissions, including contract quality reviews, scopes of service, and other duties as assigned.

  • Help establish and implement procedures necessary to maintain and organize standing orders and protocols.

  • Prepare and maintain files, documentation, spreadsheets, and databases to support Regulatory Affairs department functions, ensuring accuracy and completeness.

  • Maintain administration of the regulatory tracers program and quality reports.

  • Review and process purchase requisitions, track expenditures.

  • Assist in the preparation and submission of regulatory documents to regulatory authorities.

  • Coordinate all office functions for the Regulatory Affairs department, including meeting arrangements, processing communications into and out of the office, record keeping, and preparation and filing of memoranda and reports etc.

  • Manage and support all administrative functions for the Regulatory Affairs Oversight Committee.

  • Perform additional responsibilities as assigned.

Employment Qualifications

Required Education:

Associate Degree in Business, Accounting, or related field from an accredited program

Combination of education and experience will be considered in lieu of a degree.

Preferred Education:

Bachelor's Degree in Business, Accounting, or related field from an accredited program.

Years and Type of Required Experience

Minimum of four (4) years of previous secretarial/administrative work experience in an office setting.
Previous experience with Microsoft Office applications and e-mail/calendaring.

Other Knowledge, Skills and Abilities Required:

  • Project management and communication with a variety of individuals/entities and decision making.

  • Strong attention to detail and excellent organizational skills.

  • Effective communication skills, both written and verbal.

  • Ability to work collaboratively in a team environment.

  • Experience in MS Office Suite inclusive of Word, Excel and PowerPoint.

Cultural Responsiveness

Other Knowledge, Skills and Abilities Preferred:

  • Experience in healthcare environment. Excellent interpersonal and writing skills.

  • Five (5) years of previous secretarial/administrative work experience in an office setting.

  • Previous experience in an academic health care setting.
