The Opportunity:

Human Resources is seeking an Administrative Assistant I to join their team! The Administrative Assistant is responsible for the front desk reception area of the Human Resources Center of Expertise. Performs a wide variety of general administrative support duties. Duties include answering phones, daily email correspondence on behalf of the department, greeting visitors, scheduling, inventory management, mail handling, and other tasks related to front desk operations.

Responsibilities:

External and Internal Relations


  • Greets visitors and directs them to the correct location

  • Answers external phone calls and directs inquiries correctly within the organization

  • Provides information for routine inquiries; management of AskHR inbox

  • Accepts and signs for deliveries

  • Screens, sorts, and distributes mail


Administrative Support


  • Ensures standard office machinery (e.g. phones, printers, copiers, and fax) is in working order

  • Supports scheduling efforts of individuals and meeting spaces

  • Handles the closing and opening of office/meeting spaces

  • Assists other administrative support personnel in efforts to manage office

  • Office supplies inventory management

  • Submit work orders to CBRE (building management) for maintenance and repairs

  • Submit IT tickets when issues arise


Federal Work Study Student Oversight


  • Oversees day-to-day work of Federal Work Study students under direction of supervisor

  • Responsible for training students on front desk operations

  • Schedule preparation

  • General mentoring


Project and event/large meeting support


  • Provides project support to the HR functional areas as needed

  • Provides backup support to the HROPS workstream leads as needed

  • Supports logistical coordination of Quarterly All-Hands Day and OneHR Community of Practice meetings

  • Other duties as assigned


Minimum Qualifications:

High School Diploma or Equivalent and 0+ years of relevant experience or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information.

Preferred Qualifications:


  • 1+ years of experience in administrative or HR support roles, preferably within a higher education environment.

  • Ability to lead and work with students and interns in a mentorship capacity.

  • Prior experience in a customer service-oriented role with the ability to interact professionally and provide courteous responses.

  • Experience with Microsoft Office applications.

  • Familiarity with virtual meeting platforms such as Microsoft Teams or Zoom.

  • Strong interpersonal skills, showcasing aptitude for developing and maintaining relationships.

  • Proven communication skills, particularly with various groups to include faculty, employees, and students.

  • Ability to work independently as well as with self-directed teams.

Special Instructions to the Applicants:

The anticipated hourly range for this position is $15.66 to $18.79. The final hourly rate will be determined based on the candidate's qualifications, experience, and internal equity considerations.
