Description

The Department of Medicine is looking to hire an Administrative Assistant to support the Pulmonary and Critical Care Division Office by managing phone calls, coordinating conferences and meetings, and assigning physician pagers. Responsibilities include assisting with lecture scheduling, retrieving medical records for the Liver Transplant Committee, handling mail and on-campus errands, and supporting calendar management for the Clinical Chief and Section Chiefs. The role also involves organizing materials for faculty meetings and providing general administrative assistance as needed. Strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment are essential.

Hourly range: $25.60-$36.33

Qualifications

Required:



  • Ability to prioritize and organize projects through multiple phases. Ability to meet deadlines and follow through on multiple tasks simultaneously with careful attention to detail
  • Skill in working as part of a team, collaborating with colleagues, and ability to establish and maintain cooperative working relationships with faculty, staff and administrators.
  • Ability to use good judgment when dealing with confidential or sensitive information
  • Oral and written communication skills to obtain and convey information clearly, concisely, and accurately
  • Ability to observe established office policies and procedures.
  • Knowledge in MS Access, Word, Excel, Power Point, Outlook
  • Ability to handle confidential materials and information with discretion
  • Reading skills to comprehend University policy and procedures manuals.
  • Skill in working independently and following through on assignments with minimal directions
  • Ability to establish and maintain rapport with University faculty and staff, as well as with people from Non-University entities, to effectively and efficiently solve problems.

Preferred



  • Working knowledge of University forms and procedures
  • Experience setting up AV equipment, Go to Meeting, etc.
