About the Position

This position is crucial to the day-to-day operations of the Roadway Maintenance Division. You will be part of the division leadership of professional staff who maintain the roads that provide connections that improve people's lives. You will utilize your skills to make vital decisions in the division's operations while frequently interacting with shareholders to improve the division's strategic goals.

Please note this position has a set schedule Monday through Thursday, 5:00 AM - 3:30 PM.

We Require

  • Three years of responsible clerical and/or administrative experience

  • High school diploma or GED

  • Post-secondary education may substitute for the required experience on a year-for-year basis

  • Experience within the roadway construction or maintenance industry

Job Contributions

  • Oversee and coordinate weekly inspection tasks for operational condition assessments for the Maintenance Division, including creating work orders and assigning tasks based on asset priority and location. Provide asset condition assessment training to crew members. Conduct follow-up from weekly operational and bi-annual condition assessments to create appropriate work tasks to resolve identified issues

  • Provide complex and responsible high-level administrative support to the Roadway Maintenance Division Manager, Superintendents, and Administrative Supervisor, including handling sensitive details and assignments

  • Assist division leadership in conducting operational, administrative, and systems studies and create recommendations for improving processes and policies. Utilize Cartegraph to conduct research, compile information, and analyze data to identify areas of challenge and success related to strategic goals and objectives and the Division's two and five-year maintenance planning. Prepare and present comprehensive administrative, operational, and statistical reports of the findings for management to make operational decisions

  • Respond to all Notices of Claim, Public Records Requests, or other requests for documentation for the Roadway Maintenance Division. Coordinate with other MCDOT divisions, County departments, or outside agencies as needed

  • Provide statistical analysis of crew operations budgets to assist in budget preparation, forecasting, and operational changes. Create and monitor available amounts, increase as needed, and close all blanket purchase orders for the division

  • Manage and act as division liaison for special projects related to the Division or Department's strategic goals. Maintain Roadway Maintenance Division SharePoint pages for updated information, correct errors, and accurate and relevant information

  • Coordinate and process all staff training and travel, including registration, travel forms and approvals, coordinating travel and documentation, and processing reimbursements. Prepare correspondence and reports; maintain calendars; schedule meetings; and prioritize and resolve meeting conflicts as needed

  • Other job duties as assigned

Working Conditions

  • This position requires the employee to be in the office/field or customer-facing for all hours worked

  • Exerting up to 20 pounds occasionally, 10 pounds frequently, or negligible amounts constantly or requires walking or standing to a significant degree

  • The position is typically office or administrative work and is not substantially exposed to adverse environmental conditions

  • Will require travel to and from job-related locations during a scheduled workday, subject to County policies regarding the use of County or private vehicles used on County business

  • The work will occur in an office and field environment. While performing the duties and responsibilities, the employee may be exposed to loud noise, noxious odors, unsanitary conditions, chemicals, electricity, moving mechanical parts, varying weather conditions, and other related conditions and situations. Position is subject to atmospheric conditions: Fumes, odors, dust, mists, gases, or poor ventilation
