This position ensures compliance with local state healthcare requirements and works closely with third-party vendors, recruiters, HR business partners and legal to provide a seamless preboarding experience. The ideal candidate is detail-oriented, highly organized, and proactive, with strong communication skills and a commitment to delivering exceptional operational support.
Key Responsibilities of the Talent Acquisition Specialist, Background Checks: Background Check Management
- Manage the background check process through the third-party vendor for all accepted offers, ensuring timely completion and adherence to local and state healthcare requirements.
- Monitor the progress of background checks daily, identifying and addressing any delays or escalations.
- Verify and ensure that all required documentation is received and compliant with state-specific regulations for each community.
- Act as the primary point of contact for background check results, ensuring timely escalation of any discrepancies or concerns to the appropriate stakeholders. Proactively work to resolve issues promptly while maintaining clear and consistent communication with all parties involved.
Collaboration and Communication
- Alert recruiters, HRBPs, and other responsible parties of any discrepancies in the background check process.
- Communicate updates and outcomes to ensure all stakeholders are informed and aligned.
- Work with the Talent Acquisition team to provide guidance and clarification on background check policies and procedures.
Candidate Experience
- Ensure a seamless and positive candidate experience by proactively managing background check timelines and resolving issues quickly and professionally.
- Act as a resource for candidates, answering questions and providing updates on their background check status as needed.
Documentation and Reporting
- Maintain accurate and up-to-date records of all background check activities in the Applicant Tracking System (ATS) and other internal systems.
- Generate reports on background check completion rates, compliance metrics, and escalations for leadership review.
- Identify trends or areas for process improvement and provide recommendations to enhance efficiency and compliance.
Compliance and Process Improvement
- Stay informed about state-specific healthcare regulations and ensure all background checks meet legal and organizational standards.
- Assist in reviewing and updating background check policies and procedures to reflect changing requirements or best practices.
Qualifications:
- Bachelor's degree or equivalent experience preferred.
- 2+ years of experience in HR, talent acquisition, or operations roles, with a focus on compliance or background check processes preferred.
- Experience working with third-party background check vendors.
- Strong attention to detail and ability to manage multiple tasks with competing priorities.
- Excellent verbal and written communication skills, with the ability to collaborate effectively across teams.
- Proficiency with Applicant Tracking Systems (Workday preferred) and Microsoft Office applications.
- Familiarity with state-specific regulations and healthcare industry requirements is a plus.
- Strong problem-solving skills and a proactive approach to identifying and addressing issues.
