Sr. Business Support Specialist

GENERAL PURPOSE

Perform a broad range of business support activities for the location being supported, including activities of specialized administrative nature. Duties may include preparing, editing, or distributing correspondence; tracking, filing, collecting, summarizing, or organizing information; performing data entry and processing of information; creating and generating reports; assisting with human resources activities, including recruiting, events, and completing special projects. Respond to the needs of internal and/or external customer requests or questions. May provide backup support to other administrative positions. Evaluate efficiencies for areas of responsibility and recommend changes for improved workflow, standardized processes, cost reduction, etc. Work with minimal direction and provide guidance to less experienced team members.

JOB DUTIES AND RESPONSIBILITIES

* Assist department and/or office staff, performing any combination of clerical duties including answering phones, filing, sorting, receiving, classifying, summarizing documents and information; welcome or direct visitors and contractors.

* Schedule and organize onsite, off-site, or virtual meetings; prepare materials for meetings and new hire orientations

* Track, file, collect, summarize, or organize information

* Maintain various records, spreadsheets, logs, etc.

* Use software applications and other standard office equipment to complete work activities

* Compile and generate regular and special reports using established formats and procedures

EDUCATION AND EXPERIENCE

* High school diploma or equivalent

* 2 to 4 years' office, administrative, or related experience

* Certification and/or License - may be required during course of employment

KNOWLEDGE, SKILLS, AND ABILITIES

* Strong knowledge and skill with Microsoft Excel & Office Suite

* Able to work with accuracy and attention to detail

* Able to communicate clearly and effectively, both verbally and in writing

* Able to interact positively and work effectively with others (interpersonal skills)

* Able to anticipate and recommend needed changes

* Able to independently gather data, compile information, and prepare reports

* Able to take initiative in performing job and seek increased responsibilities

* Able to multi-task and problem solve

* Able to organize time, energy, and resources effectively to achieve goals (i.e., organizational skills)

* Able to perform tasks and duties without constant supervision

* Must be able to read, write and speak English
