POSITION SUMMARY: Milliman's Employee Benefits Consulting (EBC) practice provides retirement and benefits solutions for U.S.-based corporate, public sector, and multiemployer plans. We are looking for a Director of Administrative Operations to lead our support staff and implement the strategic vision and priorities set by senior leadership for practice operations. RESPONSIBILITIES:
- Support Staff Oversight: Direct and supervise support staff, ensuring smooth day-to-day operations across departments. The practice currently has three teams of dedicated support staff for people (recruitment, rewards, professional development), finances (billing, cash application, accounts payable), and general administrative support. Establish and maintain a trusting, inclusive and productive work environment. Provide direction, mentoring, and leadership to the support staff to achieve organizational objectives. This will include regular meetings with support staff leaders, oversight and allocation of duties, management of professional development plans, establishment of key performance indicators, and annual salary/bonus setting.
- Strategic Practice Planning: Collaborate with practice management to align support staff goals with the overall strategic objectives of the practice and to position the practice for growth and profitability. Participate in weekly meetings with the and a regular cadence of meetings with other partners.
- Facilitate Practice Leadership Meetings: Help leadership plan agendas, prepare / provide materials in advance, track to-dos, and follow up on agreed actions.
- Policy Development: Develop and implement administrative policies, procedures, and standards to improve efficiency and compliance. This includes the ongoing maintenance and development of an existing body of , as well as improvement and development of protocols for executing a wide array of support staff tasks to improve institutional knowledge transfer, training consistency, and efficiency.
- Process Improvement: Identify opportunities for streamlining support staff processes and implementing efficient workflows.
- Change Management: Develop and implement effective roll-out of new policies and processes and provide follow-up to ensure ongoing compliance.
- Communication and Coordination: Facilitate communication and coordination among and between the support teams and the rest of the practice, ensuring seamless operations.
- Data Analysis and Reporting: Analyze support staff data and practice-wide datasets, generate reports, and provide insights to support decision-making processes. Review and summarize staff surveys, oversee the maintenance and use of key datasets and tools used for reporting office attendance, salary setting, staff projects/capacity planning, staff timesheets and hours reporting, bonus calculations, etc.
- Revenue Cycle Management: Manage timely and efficient billing and payment procedures.
- Budgeting and Resource Management: Manage budgets, allocate resources, and optimize spending across support staff functions.
- Facilities Management: Manage facilities, office space, equipment, and maintenance to ensure a safe and functional work environment. Participate in lease renewals and move planning. Oversee build-outs / moves.
- Stakeholder Engagement: Collaborate with to address practice needs and enhance organizational efficiency, including personnel at the firm-wide level that are dedicated to IT, Legal, HR, Finance, etc..
SKILLS & QUALIFICATIONS REQUIRED:
- Bachelor's degree or equivalent experience.
- The ideal candidate must have 10+ years of previous experience leading administrative and/or operations teams.
- The ideal candidate must have expert level leadership skills in organization, project management, change management, and meeting management
- The ideal candidate must have strong interpersonal and communication skills, with the ability to work with and communicate at large with colleagues across a wide range of professional groups, career levels and interpersonal styles of their own both written and verbal
- Must be a self-starter attitude and solutions-driven, able to work in a dynamic work environment, clearly articulate business issues and recommend / synthesize solutions and to devise growth strategies and process improvements, willing to roll up sleeves and get into details as needed, look beyond the obvious and don't stop at the first answer or challenge encountered, flexible and agile to adapt to changing needs and circumstances
- Must have high degree of accountability, accepting responsibility for work activities and following through on commitments.
SKILLS & QUALIFICATIONS PREFERRED:
- Experience in a professional services environment or multiple-owner-led firm.

COMPENSATION: The salary range for this role is $153,000 - $311,000, depending on a combination of factors, including, but not limited to, education, relevant work experience, qualifications, skills, certifications, location, etc. BENEFITS: We offer a comprehensive benefits package designed to support employees' health, financial security, and well-being.
