Manager, Volunteer Services & Gift Shop

This position has two diverse areas of focus. First, in the Volunteer Manager scope, is responsible for and has oversight for the management of the Volunteer Services department. Develops and supports volunteer programs throughout the Hospital. Secondly, in the Gift Shop Manager scope, is responsible for the daily operations, staffing and merchandising of retail services.

Default

  • Manages 100 plus Salem Hospital volunteers. Responsible for increasing the base number of volunteers.
  • Manages the recruitment, onboarding, orientation, placement, scheduling, annual requirements, and evaluation of all hospital volunteers.
  • Serves as the knowledge expert for the volunteer management data base. Develops new data sets, reporting tools, and provides training to other staff. Maintains all volunteer placements data and statistics. Performs all reporting based on data.
  • Coordinates an annual recognition to provide reinforcement of hospital's appreciation to honor volunteers for their contributed hours. ie; National Volunteer Week and Annual Recognition Event.
  • Conducts on-going evaluation and training.
  • Develops formal orientation and training programs for new volunteers.
  • Prepares written comprehensive policies and procedures taking into account in-service training of volunteers, volunteer hours, types of services to be performed and volunteer assignments.
  • Establishes programs, objectives, and standards for the Volunteer Services Department consistent with the hospital's goals.
  • Interacts with management to determine volunteer service needs and to interpret service policies and procedures.
  • Provides guidelines for state and federal regulations regarding volunteer utilization.
  • Responsible for fiscal management of the department. Projects and completes annual budget and ensures that the department operates within the financial parameters.
  • Program development for placements that meet criteria for effective and successful volunteer programming from the perspective of individuals and hospital operations.
  • Interviews, selects, places, and orients volunteer staff. Works with supervisors of departments to place appropriately trained and/or skilled volunteers in required roles. Encourages development of volunteer role through communication between supervisors and volunteers. Monitors ongoing recognition as well as disciplinary action of volunteers.
  • Develops vocational-based programs for individuals with special skills, interest or needs that focus on work-base skill building.
  • Works across the MGB system with other Volunteer Service department leaders. Guides other system leaders as to practice and methods for volunteer services.
  • Evaluates the effectiveness and impact of the volunteer services provided and recommends new approaches for continued improvement.
  • Creates qualitative and quantitative metrics and recording methods related to volunteer data.
  • Develops a volunteers services communication plans for use with hospital leadership and internal and external audiences.
  • Establishes relationships with community organizations to recruit and foster interest in volunteering.
  • Executes on the develop of vision and short and long range planning as well as yearly goals and objectives in response to hospital needs for volunteer services.
  • Successfully executes meeting all requirements for volunteers under the Joint Commission regulations.
  • Designs gift shop's space and oversees marketing and displays and manages the marking room.
  • Monitors an ongoing revenue stream.
  • Responsible for the hiring, training, and supervision of all staff, paid and volunteer.
  • Manages all staffed employees to cover retail operations.
  • Follows and acts onthe procedures for disciplinary action when needed.
  • Creates shop guidelines and policies and procedures.
  • Inspects stores for compliance with DPH standards and safety regulations, implements work standards
  • Develops operational processes that mitigate safety and risk.
  • Manages staff on the daily functions of the gift shop to ensure smooth daily operations.
  • Accountable for the scheduling of paid and volunteer staff to ensure the hours of operation are consistently covered.
  • Executes the implementation of a new Point of Sale system and the training of staff in the use of the POS cash register system.
  • Accountable for the yearly fiscal budget for the shop and the strategies for maintaining monthly/yearly sales targets.
  • Researches and determines vendors used, proper assortments and price-lines.
  • Develops buying plans for seasonal merchandise and special sales events, places orders and reorders merchandise according to the buying plans.
  • Advances planning and consistent evaluation for buying to anticipate the needs of the shop.
  • Maintains visibility for customer feedback and liaison with pertinent hospital departments.
  • Directs staff to ensure that merchandise is priced correctly and delivered to the selling floor within a timely period.
  • Manages merchandise shrinkage.
  • Attends trade/gift shows to scope out new trends, ideas, and purchase merchandise.
  • Oversight of the procedures in People Soft Cash Management System which include monthly reporting on sales, cash deposits and expenses.
  • Implements and manages the online ordering system
  • Seeks opportunities to advance ret services practices and operations.
  • Participates in leadership monthly meeting and completes all management assignments for both areas of responsibility.

  • Ability to efficiently complete multiple priorities.
  • Excellent computer skills and experience with Microsoft Suite.
  • Knowledge in database management.
  • Ability to interact effectively with all levels of organizational staff and people in a wide variety of age ranges and abilities
  • Prior experience working with volunteers, students and community programs.
  • Sales and retail experience
  • 3 years of Management experience and 2 years in retail buying required
  • Retail management background preferred
