PROJECT MANAGER IV/PROGRAM DIRECTOR

We're looking for someone who knows how to lead project management teams and complex creative accounts in a way that builds business AND blows minds. You'll lead capacity planning, develop and manage project managers, and map out the most complex creative program scopes, timelines and budgets. What You'll Do

Our client services team and clients will love having you partner with them as you listen to their aspirations, navigate their needs and make sure our creative team delivers for them. You'll lead quarterly and annual capacity planning. You'll lead a team of project managers who appreciate your expertise and leadership. You'll assess the scope of work of our most complicated projects to make sure everyone is on the same page with deliverables, budgets, and outcomes. This includes keeping a keen eye on the budget so you can explain cost factors to the client, taking care of their dollars and ours and serving as point of escalation with client partners and account leadership for errors, problems, and challenges that need extra support. You're the expert in identifying potential risks and developing contingency plans across multiple projects. Proactive at problem-solving, anticipating and addressing issues before they impact client partner project timelines or creative quality and skilled in leading project post-mortems to capture insights for future improvements. Responsibilities:

  • Lead PM team in quarterly and annual campaign/project planning for Ideabar's largest internal and external clients
  • Manages RFP/opportunity response workflow + budget (including spec work)
  • Ensures alignment between estimates and SOW detail in all client proposals
  • Ensures all client architecture structures and campaign architecture structures meet Financial, Account + Project Management needs
  • Manages consolidated AOR/program/campaign timelines
  • Ensures successful Marketing Plan and initial program/campaign execution
  • Oversees that all client engagements are on-quality (tactical), on-time and on-budget
  • Oversees the consistent successful facilitation of client engagements
  • Manages PO approvals above specified dollar amount
  • Maintains + monitors overarching client budgets and schedules monthly
  • Owns client-facing agency advocate communication
  • Ensures adherence to pertinent client contract requirements
  • Maintains deep understanding of agency AOR workflow
  • Reviews populated pricing template for existing priority clients
  • Manages assigned Project Managers
  • Manages individual and department utilization(s) and realization(s) of assigned PM team members
  • Helps to recruit, hire and develop staff and support ongoing departmental training initiatives and resources.
  • Core admin and trainer for agency project management system
  • Establishes and enforces streamlined workflows of agency project-related processes
  • Identifies best practices and develops new systems/processes/tools for complex integrated client projects.
  • Establishes agency capacity plans for use against ongoing assessments of agency staffing needs in relation to client work in progress
  • Oversees coordination of project quality assurance reviews to ensure highest quality deliverables
  • Maintains professional internal and external relationships that meet company core values


Highest Level Tasks:

Client Intake

  • Calculates program/campaign/project margin and notifies Account Director
  • With Account Director, leads internal client download meeting with integrated team


Discovery/Strategy/Planning

  • Leads quarterly and annual scoping and capacity planning, in partnership with PM 2s and PM 3s.
  • Partner with Account leads on annual strategic planning: new business proposals and RFPs, developing scope estimates, timelines and management of spec work.
  • Reviews and approves initial AOR/program/campaign architecture within approved technology
  • Reviews and approves initial AOR/program/campaign estimates
  • Participates in Discovery Workshop(s) with client, as applicable
  • Reviews and approves high-level Marketing Planning budget breakdown
  • Reviews and approves revised budget breakdown + reallocations
  • Reviews and approves fast track SOW estimates + timelines for priority clients


Program Execution

  • Develops accurate level of effort estimates for large-scale, complex and custom projects in partnership with PM 2s and PM 3s.
  • Approves PM-specific areas of program/campaign creative brief(s)
  • Oversees scope development for program/campaign scoping for team members and provides guidance on timelines and budgets on priority campaigns.
  • Reviews/approves complex program/campaign SOW estimates + timelines
  • Reviews and approves ongoing budget reallocation recommendations
  • Approves all change orders above specified dollar amount


Program Administration

  • Manages up to 12-month forecasting; and pacing of work as led by Group Account Director.
  • Participates in billing/revenue recognition meetings, as necessary
  • Reviews suggested labor write off amounts and reasons
  • Reviews suggested expense write off amounts and reasons
  • Reviews monthly and quarterly write off reporting for clients
  • Reviews their client profitability reporting and makes recommendations for improvement
  • Participates in client account review for their clients


Admin

  • Participates in Account Mapping sessions
  • Performs 1:1s with direct reports
  • Leads performance appraisal process for direct reports
  • Reviews and participates in performance appraisal process for assigned PM team members
  • Reviews estimating discrepancies and implements estimating improvements for their client group
  • Provides account-level reporting and analytics. Analyzes burn reporting, monitors pacing, etc.
  • Finalizes project templates in approved technology
  • Leads daily creative standups and weekly priority meetings for assigned clients.
  • Manages overarching account health, consolidated program budgets, including attending monthly account health or revenue recognition meetings.
  • Guides project team through ambiguous projects by providing clarity to gray areas.
  • Deep knowledge of AOR workflow. Drive innovation in project delivery, collaborating with cross-functional teams to explore new ideas, process enhancements and technologies.
  • Completes timesheet daily
  • Approves assigned Project Management team members' timesheets


New Business Development (future state secondary to delighting existing clients)

  • Scopes and estimates RFP/opportunity budget / timeline
  • Participates in RFP/opportunity working session
  • Reviews creative brief deliverables and populates timeline + budget (for RFP/opportunity spec work)
  • Participates in creative briefing, communicating timeline + budget

Minimum Qualifications:

  • Bachelor's degree in a related discipline and 8 years experience in project or program management, ideally within a creative agency or inhouse marketing department . The right candidate could also have a different combination, such as a master's degree and 6 years experience; a Ph.D. and 3 years experience in a related field; or 12 years experience in project or program management, ideally within a creative agency or inhouse marketing department.
  • Marketing agency experience
  • Skilled in developing program/campaign work breakdown structures, creating timelines and driving successful execution of programs/campaigns, on-quality, on-budget and on-schedule
  • Experience with Agency Project Management systems such as Workamajig and/or Workfront
  • Skilled in collaborating with team members to create program/campaign estimates aligned with proposed scopes of work
  • Skilled in program/campaign and project financial management and analysis
  • Skilled in successfully managing programs/campaigns with multiple complex projects, components and deliverables
  • Experience managing RFP/pitch process

USD 108,800.00 - 181,400.00 per year

Compensation:

Compensation includes a base salary of $108,800.00 - $181,400.00. The base salary may vary within the anticipated base pay range based on factors such as the ultimate location of the position and the selected candidate's knowledge, skills, and abilities. Position may be eligible for additional compensation that may include an incentive program.

Benefits:

The Company offers eligible employees the flexibility to take as much vacation with pay as they deem consistent with their duties, the company's needs, and its obligations; seven paid holidays throughout the calendar year; and up to 160 hours of paid wellness annually for their own wellness or that of family members. Employees are also eligible for additional paid time off in the form of bereavement leave, time off to vote, jury duty leave, volunteer time off, military leave, and parental leave.
