SUMMARY

The Operations Administrator is responsible for the shipping, receiving, clerical and administrative functions for the department. In addition, this position is responsible for the complete operation and documentation of the physical truck scale. This position is in Kalamazoo, MI, and is fully onsite.

Essential Functions (Other duties may be assigned and management retains the discretion to add, delete, or change the duties at any time)



  • Complete paperwork associated with billing, buying, receiving, and shipping of scrap metal in an accurate and timely manner
  • Answer phones and assist drivers, visitors, and staff entering the facilities
  • Weigh inbound and outbound material for shipping and receiving by utilizing the truck scale
  • Prepare, post, and mail invoices
  • Enter weights, photographs and associated documentation into ERP system
  • Enter and post daily production logs
  • Maintain scale and departmental records; files copies of weight tickets and shipping documents
  • Verify and maintain scale weights of boxes and trailers
  • Receive parts on purchase orders
  • Review and finalize scale receivers
  • Attach printed scale receivers to scale tickets then send to trades payables.
  • Assist with month-end duties according to the calendar and notifies the Divisional Controller when complete
  • Collaborates with the Operations Manager on reporting and inventory tracking
  • Must be able to interact in person with peers and the public
  • Must be able to handle high stress situations
  • Perform other duties as assigned

Qualifications

QUALIFICATIONS

Education and Experience:



  • High School Diploma, GED, or equivalent (Required)
  • A minimum of 3 to 5 years experience in an accounting or similar administrative role
  • Associates degree (preferred)

WORKING ENVIRONMENT



  • Personal protective equipment (PPE) is required in the production department and other designated areas.
