College of the Arts - Dean's Office Georgia State University

The College of the Arts (COTA) Administrative Specialist, Senior position for the Dean's Office will perform high level administrative, project and program support to college executives (i.e. the Dean, Associate Dean, School Directors, College Administrative Officer, College Human Resources Officer) and serve in a dual capacity to support the business (budget/finance) and Human Resources operations of the College, while serving the ongoing needs of the Dean's Office and the College.

HERE IS WHAT YOU WILL DO

* Manage/coordinate the Dean's daily activities and day-to-day workflow;

* Serve as point of contact to various Colleges, offices and departments;

* Manage and oversee all logistical duties for a variety of functions to include, but not limited to:

o Strategic projects for the Dean's Office;

o May be responsible for "pre" and "post" grants management;

o Special projects for the Dean's Office;

o Provide support to various College events (e.g. donor relation events, faculty meetings, new faculty orientation, etc.);

o Develop/prepare presentations, briefings, correspondence/documents, and reports

* Participate in budget preparations;

* Prepare and assist with departmental expenditures;

* Prepare and process the payment of invoices in Panthermart and Foundation Payments for the Dean's Office;

* Coordinate travel arrangements, process travel reimbursements and payment vouchers for the Dean's Office;

* Order supplies;

* Manage all aspects of Faculty Reviews to include, but not limited to:

o Provide administrative support tot he faculty review process to include Tenure Track promotion and tenure, Non-Tenure Track promotion, structured reviews, and annual evaluations;

o Maintain faculty records and track progress in faculty rank;

o Identify faculty eligibility for promotion and/or tenure, structured reviews, and annual evaluations;

o Notify relative parties and monitor COTA calendar deadlines;

o Track necessary documents and ensure they are complete and received in accordance with established deadlines;

o Prepare documents on behalf of the Dean;

o Serve as the point of contact with Office of Faculty Affairs;

o Maintain and collect updates for College manuals and policies;

* Provide administrative support to College Human Resources Officer:

o Coordinate submission of documentation to Faculty Affairs for approval of new Graduate Assistant and Part-Time Instructor hires;

o Enter Graduate Assistant and Part-Time Instructor PPGRA;

o Coordinate Dual Appointment Agreements

* Supervise lower level administrative staff and/or student assistants;

* Coordinates the training and development of new student assistants

* Perform other related duties as assigned

Minimum Hiring Qualifications:

Bachelor's degree and four years administrative experience; or a combination of education and related experience.
