Job Summary:
The Operations Manager reports to the Associate Facilities Director for Kellogg's Chicago campus and is responsible for planning, coordinating, allocating and directing staff and resources for set up and break down of classes, conferences, events and activities pertaining to Kellogg and NU in Wieboldt Hall. The space operates 8am to 10pm, 7 days a week. This role communicates with numerous stakeholders on pre-plan and day of execution expectations and delivery. The Operations Manager assists in coordinating work orders and customer service delivery. Coordinates with the food service provider and support staff. Assist with developing and implementing policies and procedures.
Specific Responsibilities:
50% - Scheduling
- Administers and coordinates all day-to-day operational demands of Wieboldt Hall for Kellogg spaces for all academic functions, meetings, speaker events, high-level conferences, and all other gatherings for all Faculty, Staff, Students, Northwestern, and visitor daily events.
- Serve as point of contact for all scheduling system resource input requests from Kellogg Faculty, staff, students, and Northwestern event hosts, inputting all resource requests in a timely and efficient manner.
- Maintain accurate curricular event schedules and other resource requests to maximize the Kellogg Faculty teaching environment.
- Oversees the planning, set up, execution of all Kellogg Conference Center (KCC) events at Wieboldt ensuring smooth transition between events.
- Utilize and maintain Event Management System (EMS) to manage event schedules, review event requests, maximize customer experience, and equip set-up teams with detailed instructions.
- Participate in advance pre-planning meetings to ensure events follow Building Policies, maintain Kellogg standards, and maximize the Kellogg experience.
- Coordinate with all service teams to ensure appropriate resources are scheduled for all events at Wieboldt.
- Works closely with Catering Director to serve as point of contact for clients. Oversee Chartwells set-up for all daily event needs.
- Ensures client satisfaction by addressing their needs promptly and resolving any concerns prior to and during any events.
- Oversees Event's costs estimates and post-event billing.
- Provides extensive experience in hotel relations; being proactive and responding to issues in a timely manner. Providing support and available resources. Following up on feedback and managing communication between stakeholders.
- Coordinate with the Associate Director of Facilities on unique or high-level events.
30% - Implementation
- Administers and coordinates all day-to-day operational and facility demands of Wieboldt Hall that includes academic functions, Conferences and Events, and Faculty requirements.
- Participate in event planning meetings and ensure appropriate resources are scheduled for conferences and events.
- Implement departmental policies and procedures in conjunction with Kellogg Leadership.
- Provide positive end-user experiences for Faculty, Staff, Students, and guests while effectively handling or escalating complaints or conflicts.
- Collaborate with Kellogg staff, faculty, and students to gather ideas for program improvements.
- Coordinate and support all programs to ensure the customer's requirements are met at the highest level while still maintaining all Kellogg policies.
- Develop and establish long-range objectives for process improvement and specify strategies to achieve them.
10%- Coordination
- Review staff need to support all individuals and groups utilizing Kellogg Wieboldt spaces.
- Leverage contracted l staff to support all KCC events.
15% - Support
- Contribute ideas, knowledge, and recommendations to the Kellogg facilities team to establish best practices and metrics to ensure continuous improvement and customer satisfaction
- Develop and maximize EMS and relevant systems to meet current needs with FM leadership and KIS teams.
- Work with the Facilities Leadership in the implementation and interpretation of daily building-wide space and resource schedule to ensure all resource requests are met on a timely and efficient basis.
- Coordination and partnership with other Chicago and Evanston Campus facility leaders.
Miscellaneous
Performs other duties as assigned.
Minimum Qualifications:
- A bachelor's degree or the equivalent combination of education, training and experience from which comparable skills can be acquired.
- Minimum of 5-7 years of hospitality and Conference Center Management experience.

- Be available onsite for events early start , late finish and on weekends as necessary .
- Ability to handle many tasks simultaneously required. Must be able to work independently.

Target hiring range for this position will be between $63,000 - $80,000 per year. Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.
