Summary

This experienced professional independently manages the business office functions of the health systems Legal Services Department, including primary responsibility for systemwide legal filings (including annual reports and fictitious names applications, renewals and cancellations); the invoice processing program (including coordinating with external counsel and their billing specialists); overseeing office supply orders, inventory and audits, record destruction program, the Departments VirtuaLee site and the client resources available thereon. The Legal Office Administrator will manage the departments virtual front desk while providing employees, clients, outside counsel, vendors and others with the highest degree of customer service.

The Legal Office Administrator will exercise discretion and independent judgment in managing and administering the health systems employee debt collection program, including decision-making authority regarding the collection of individual employee debts. This role serves as the primary contact for the service of legal documents and will also provide garnishment, bankruptcy and complex litigation support to system attorneys.

This position is expected to proactively identify opportunities to enhance departmental efficiencies impacting resources, personnel and business priorities, and to design solutions and coordinate implementation.

Requirements

Education: Associates Degree Required. Bachelors Degree Preferred. Two or more years of paralegal experience may be substituted in lieu of bachelors degree.

Experience: Minimum of five (5) years of administrative support experience working in a legal office/similar office environment, with demonstrated progressive growth in responsibility. Paralegal experience preferred.

Other: Requires strong computer, research, interpersonal, communication and organizational skills and the ability to work proactively and effectively with a wide range of stakeholders. Must be organized, versatile and able to work independently. Must be an expert multi-tasker and have the ability to excel in a fast-paced environment and adjust to changing priorities. Proficient in MS Office (Outlook, Excel, Word and PowerPoint). Requires ability to master other software as needed. Excellent verbal and written communication skills with significant attention to detail. Knowledge of basic office equipment.
