Essential Functions:
Directly support the Facility Manager and Account Lead with on-going facility, track, and team related responsibilities, including, but not limited to: Main point of contact for Building Engines work order system to review all work orders for GL coding accuracy, mark complete, perform verifications, vendor follow up to ensure timely delivery of invoices with all backups or service tickets or packing slips, create vendor recurring work orders, PMs, and requests Ensure client satisfaction with client Facility Management by providing a seamless interface into client facility operations organization; demonstrate leadership, responsiveness, and creativity Constant interface with the client stakeholders and customers that patronize the site Work closely with the accounting team, utilize Prism to submit Purchase Orders (PO), manage open Work Orders, reviewing list of services for accruals, vendor follow up to ensure timely delivery of invoices with all backups or service tickets or packing slips and managing PO aging report. Support the Facility Manager in the implementation of short and long-term projects for the client Assist in creating and implement the annual management plan; accomplish key performance indicators as identified by client Assist with creating detailed weekly, monthly/quarterly/annual reporting for the client Maximize utilization of suppliers, preferred vendors/contractors, and the level of spending with Minority/Women owned Business Enterprises (M/WBE) Ensure compliance with Jones Lang LaSalle minimum audit standards Share best practices with the assigned owner of best practices for Jones Lang LaSalle Facilities Management Develop monthly/quarterly variance reporting on all operating budgets for the property on a timely basis Help to develop the annual capital plan for the building, interfacing closely with the client representative if needed Develop and implement innovative programs, processes and producers that reduce short and long term operating costs and increase productivity. Coordinate discussions with each vendor or supplier regarding goal setting, performance criteria, performance review via regularly established weekly or monthly site audits checklist to ensure work was performed Assist with negotiations of new and the maintenance of existing contracts. Source local services and goods needed to perform day to day operations through 3rd party suppliers. This includes writing contract scope, obtaining necessary vendor set up forms for JD Edwards and Building Engines, reviewing and uploading certificate of insurance for compliance. Collaborate with account Sourcing team on national and regional sourcing opportunities to define scope, coordinate supplier walk-through, and manage national and regional supplier performance at property level. Other duties may be assigned, and current duties revised based on the overall goal of the client Required Knowledge, Skills and Abilities (KSA) Strong eye for attention to details Excellent customer service delivery Experience in Building Engines work order system is helpful Strong PowerPoint presentation skills and in Excel Knowledge of real estate, accounting and building systems are helpful Excellent verbal and written communication skills Supervisory Responsibilities: None Working Environment: Client Site - Office Minimum Required Education: Undergraduate bachelor's degree preferred in real estate, finance or management. Minimum of three (2) years industry experience in Facilities Management within a corporate office environment. |
